Terms of service
Last updated 29 October 2026
1. Agreement
These terms are an agreement between your clinic ("you") and the operator of Pelvilog, based in New Zealand ("we", "us"). By creating an account or using Pelvilog ("the Service"), you agree to them. If you don't agree, please don't use the Service.
Our Privacy Policy and Data Processing Agreement form part of these terms.
2. What Pelvilog does
Pelvilog is a tool for clinics to run bladder and bowel diaries. The Service lets you:
- send patients a personal link to a diary they fill in on their phone
- see their entries and a report with charts, averages and clinical flags
- download the report as a PDF
- invite your team, each with their own login
- connect Cliniko to find patients, bring in your staff list, and upload reports, and optionally draft treatment notes, to the patient's file, by hand or automatically
3. Your account
- Give us accurate information when you sign up, and keep it up to date.
- Keep your sign-in details and your Cliniko API key secure. You're responsible for activity under your account.
- Each account belongs to one clinic. If you run more than one clinic, each needs its own account.
- Each person needs their own login. Don't share sign-in details.
- Account admins are responsible for who has access, and for removing people who leave your team.
- Tell us straight away at hello@pelvilog.com if you think someone has used your account without permission.
4. Free trial
New clinics get a 30-day free trial with full access to the Service. You don't need a credit card to start. To keep using Pelvilog after the trial, you'll need to set up a paid plan.
5. Pricing and payment
- Pelvilog is charged per completed diary. There are no per-user fees.
- A diary counts as completed when the patient sends it, or when a clinician closes it to review what was logged.
- We'll show you the current price, in New Zealand or Australian dollars, before you're charged anything.
- Prices exclude any applicable taxes unless we say otherwise.
- We'll give you at least 30 days' notice by email before changing our prices.
6. Cancelling
- You can cancel at any time by emailing hello@pelvilog.com.
- You'll be charged for diaries completed up to the date you cancel. We don't charge cancellation fees.
- When your account closes, open diary links stop working and your clinic's data is deleted as described in our Privacy Policy. Make sure any reports you need are downloaded or uploaded to Cliniko first.
7. Clinical responsibility
Pelvilog records what patients report and does the arithmetic. It doesn't diagnose, treat or give medical advice.
- Reports are based entirely on what the patient enters. Missed entries, estimated volumes or mistakes will affect the results.
- Clinical flags show where a result falls outside a set threshold. They're a prompt to look closer, not a diagnosis, and the absence of a flag doesn't mean nothing is wrong.
- If you turn on automatic upload, reports reach the patient's file in Cliniko before a clinician has reviewed them.
- Clinicians must use their own professional judgement, and check anything clinically significant against the diary entries and their own assessment.
- Your clinic is responsible for all clinical decisions and patient care.
- Pelvilog isn't monitored in real time and isn't suitable for urgent concerns. Patients should contact their clinic or health service directly about anything urgent.
8. Patient information
When you use Pelvilog, you agree that:
- you have the authority to collect your patients' diary information through the Service, and to connect your Cliniko account
- you'll tell patients how their information will be used, as you would for any other part of their care
- you'll only send diaries to your own patients, using email addresses they've given you
- you'll follow the health privacy laws that apply to you, including the Health Information Privacy Code 2020 in New Zealand and the Privacy Act 1988 in Australia
You own your clinic's data, including your patients' diaries and reports. You give us permission to store and process it only to provide the Service to you.
9. Acceptable use
You agree not to:
- use the Service for anything unlawful
- try to access other clinics' accounts, data or diary links
- interfere with or overload the Service, or try to get around its security
- copy, reverse engineer or resell the Service
10. Availability
- We work hard to keep Pelvilog running, but we can't promise it will always be available.
- We'll give notice of planned maintenance where we can.
- Patients can keep adding entries while offline, and they'll sync when the Service is reachable again.
- Pelvilog relies on other services, including Cliniko and our email provider. Their availability is outside our control.
11. Limitation of liability
The Service is provided "as is" and "as available". To the extent the law allows:
- we don't give any warranties beyond those set out in these terms
- we're not liable for indirect or consequential loss, including lost profits or lost data
- we're not liable for clinical decisions made using the Service, or for inaccurate results caused by incomplete or incorrect diary entries
- we're not liable for problems caused by Cliniko, email delivery or other services outside our control
- our total liability for all claims relating to the Service is limited to the fees you paid us in the 12 months before the claim
Nothing in these terms excludes or limits liability that can't be excluded or limited under New Zealand law, including the Consumer Guarantees Act 1993 where it applies.
12. Intellectual property
We own the Service, including its software, design, report formats and branding. You own your clinic's data. You can use the reports Pelvilog produces however you need for your clinical work, including keeping them in your patient records.
13. Ending this agreement
- You can stop using the Service and close your account at any time.
- We can suspend or close your account if you seriously breach these terms, don't pay, or use the Service in a way that puts its security or other clinics at risk. Unless it's urgent, we'll tell you first and give you a chance to fix the problem.
- If we ever decide to stop offering Pelvilog, we'll give you at least 60 days' notice so you can download your reports.
- Sections that by their nature should continue after the agreement ends, such as liability, intellectual property and governing law, will continue.
14. Changes to these terms
We may update these terms. If we make a significant change, we'll email you at least 30 days before it takes effect. If you keep using the Service after that, you're agreeing to the new terms. If you don't agree, you can cancel before they take effect.
15. Governing law
These terms are governed by New Zealand law, and the courts of New Zealand have exclusive jurisdiction over any dispute about them.
